ZipLeads (“ZipLeads,” “we,” “our,” or “us”) operates the website located at zipleads.com and the ZipLeads customer portal (collectively, the “Service”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or use our platform.
By accessing or using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please discontinue use of the Service.
1. Information We Collect
1.1 Information You Provide Directly
- Account Registration: Name, company name, business address, email address, phone number, and industry type when you sign up for an account.
- Billing Information: Payment card details and billing address, processed securely through our third-party payment processor (Stripe). We do not store full card numbers on our servers.
- Business Assets: Company logos, custom mail piece designs, and other files you upload for use in campaigns.
- Communications: Messages, inquiries, or support requests you send to us.
- Campaign Data: Territory definitions, campaign settings, template customizations, and audience selections you configure within the Service.
1.2 Information We Collect Automatically
- Log Data: IP address, browser type and version, pages visited, time and date of visits, time spent on pages, and other diagnostic data.
- Device Information: Hardware model, operating system, unique device identifiers, and mobile network information.
- Usage Data: Features accessed, campaigns created, leads viewed, exports performed, and other in-product activity.
- Cookies and Tracking Technologies: We use cookies and similar technologies to maintain sessions, remember preferences, and analyze usage. See Section 7 for more detail.
1.3 Lead and Property Data
ZipLeads compiles deed, mortgage, and property records from public sources to provide new homeowner leads to our customers. This data includes property addresses, owner names, purchase prices, mortgage amounts, deed types, and recording dates. This information is sourced from publicly recorded documents and is used solely to deliver the lead generation services described in our Terms and Conditions.
2. How We Use Your Information
We use the information we collect for the following purposes:
- Providing the Service: Creating and managing your account, processing campaigns, delivering leads, and fulfilling mail orders.
- Billing and Payments: Processing subscription payments, calculating usage, generating invoices, and managing billing history.
- Customer Support: Responding to inquiries, troubleshooting issues, and providing onboarding assistance.
- Service Improvement: Analyzing usage patterns to improve platform features, performance, and reliability.
- Communications: Sending transactional emails (receipts, campaign confirmations, delivery notifications), service announcements, and, where you have opted in, marketing communications.
- Security and Fraud Prevention: Monitoring for unauthorized access, abuse, or violations of our Terms and Conditions.
- Legal Compliance: Maintaining records as required by applicable law, responding to lawful requests, and enforcing our agreements.
3. How We Share Your Information
We do not sell your personal information. We may share your information in the following limited circumstances:
3.1 Service Providers
We engage trusted third-party vendors to perform functions on our behalf, including payment processing (Stripe), address verification (AccuZIP), email delivery, cloud hosting, and analytics. These providers are contractually obligated to use your information only as directed by us and in accordance with this policy.
3.2 Mail Fulfillment Partners
When you create and launch a direct mail campaign, the recipient addresses and mail piece designs must be transmitted to our printing and mailing partners to fulfill your order. These partners are bound by confidentiality obligations and may not use your campaign data for any other purpose.
3.3 Legal Requirements
We may disclose your information if required to do so by law, regulation, or valid legal process (such as a court order or subpoena), or if we believe in good faith that disclosure is necessary to protect the rights, property, or safety of ZipLeads, our customers, or the public.
3.4 Business Transfers
In the event of a merger, acquisition, reorganization, or sale of all or substantially all of our assets, your information may be transferred as part of that transaction. We will notify you of any such change via email or prominent notice on our website.
3.5 With Your Consent
We may share your information with third parties in any other manner with your explicit consent.
4. Data Security
We implement industry-standard technical and organizational safeguards to protect your information from unauthorized access, disclosure, alteration, or destruction. These measures include:
- SSL/TLS encryption for all data transmitted between your browser and our servers.
- Tokenized payment processing through Stripe; we do not store full payment card numbers.
- Access controls limiting employee access to personal data on a need-to-know basis.
- Regular security monitoring and vulnerability assessments.
No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. If you believe your account has been compromised, please contact us immediately at support@zipleads.com.
5. Data Retention
We retain your account information and transaction records for a minimum of seven (7) years from the date of collection or last activity to comply with business, legal, and tax obligations. You may request deletion of your account data at any time (see Section 6); however, certain records may be retained as required by law even after account closure.
Lead and property data compiled from public records is maintained as part of our proprietary database and is not subject to individual deletion requests, as it originates from publicly available government filings.
6. Your Rights and Choices
6.1 Access and Correction
You may access and update your account information at any time by logging into the ZipLeads portal and navigating to Settings > Company Profile.
6.2 Data Portability
You may export your lead data and campaign history in CSV or Excel format at any time from within your account.
6.3 Account Deletion
You may request deletion of your account by contacting us at support@zipleads.com. We will process your request within 30 days, subject to any retention obligations described in Section 5.
6.4 Marketing Communications
You may opt out of marketing emails at any time by clicking the “unsubscribe” link in any marketing email or by updating your notification preferences in Settings. Transactional emails related to your account activity and billing cannot be disabled while your account is active.
6.5 California Residents (CCPA)
If you are a California resident, you have the right to know what personal information we collect, the right to request deletion of your personal information, and the right to non-discrimination for exercising your privacy rights. To submit a CCPA request, contact us at support@zipleads.com. We do not sell personal information as defined under the CCPA.
6.6 European Residents (GDPR)
If you are located in the European Economic Area, you have rights under the General Data Protection Regulation (GDPR), including the right to access, rectify, erase, restrict processing of, and port your personal data, and the right to object to processing. Our legal basis for processing personal data is primarily the performance of a contract with you and our legitimate business interests. 7. Cookies and Tracking Technologies
We use the following types of cookies and similar technologies:
- Essential Cookies: Required for the Service to function, including session authentication and security tokens. These cannot be disabled.
- Functional Cookies: Remember your preferences, such as your selected notification settings and dashboard layout.
- Analytics Cookies: Help us understand how users interact with the Service so we can improve features and performance. We may use tools such as Google Analytics for this purpose.
You can control cookies through your browser settings. Disabling essential cookies will impair the functionality of the Service.
8. Third-Party Services and Links
The Service may contain links to third-party websites or integrate with third-party tools such as CRM platforms and accounting software. This Privacy Policy applies only to ZipLeads. We encourage you to review the privacy policies of any third-party services you use in connection with ZipLeads.
9. Children's Privacy
The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that a child has provided us with personal information, we will take steps to delete such information. If you believe a child has submitted information to us, please contact us at support@zipleads.com.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by updating the “Last Updated” date at the top of this page and, where appropriate, sending an email notification to the address associated with your account. Your continued use of the Service after the effective date of any changes constitutes your acceptance of the updated policy.
